Your inventory stays on your device.
GhostVault is designed around private local record keeping. The app is not built as a cloud inventory database and does not require an online account for daily use.
This policy explains the difference between GhostVault app data stored locally on your computer and purchase, license, update-notification, and support information handled through the website.
GhostVault Privacy Policy
Last updated: July 15, 2026
This Privacy Policy explains how GhostVault handles information related to GetGhostVault.com, purchases, license requests, support, update notices, and use of the GhostVault software.
1. Privacy-focused local software
GhostVault is designed as offline-first Windows desktop software for private local record keeping.
Inventory data stays local
GhostVault is intended to store your inventory records on your own device, not in a GhostVault cloud inventory database.
Your firearm, accessory, ammunition, magazine, photo, document, owner, and estate-related records are intended to remain in your local GhostVault database and backups under your control.
Offline-first daily use
GhostVault does not require a cloud inventory account for daily use. The application is designed for private local record keeping, local backups, and offline license-file activation.
2. Information we do not intend to collect from the app
GhostVault is not intended to automatically collect or upload your private inventory database.
No automatic upload of private records
We do not want users sending sensitive inventory data unless specifically requested for troubleshooting and only after they understand what they are sending.
- No automatic upload of firearm inventory records.
- No automatic upload of ammunition or magazine records.
- No automatic upload of photos, documents, receipts, permits, or appraisals.
- No automatic cloud copy of your GhostVault database.
- No cloud inventory database is required for daily GhostVault use.
3. Website and purchase information
When you use GetGhostVault.com, purchase GhostVault, request a license, sign up for update notices, or contact support, we may collect information needed to process your request.

4. Payment information
Payment processing may be handled by third-party payment providers.
Payment processors
Payment processing may be handled by third-party payment providers such as card processors, Stripe, PayPal, or other checkout services. We may receive order status, transaction identifiers, purchase details, and contact information needed to fulfill the order.
We do not intend to directly store full credit card numbers on GetGhostVault.com. Payment details are handled through the payment processor and checkout provider.
5. License request files
GhostVault uses an offline license-file activation process.
What the request file is for
A license request file may be generated from within the software and submitted by email to request activation. The request file is intended to help generate a license that matches your GhostVault installation and purchased edition.
It may include activation information such as app version, request identifier, edition requested, install identifier, or a device/install fingerprint hash used to generate a license file.
What it should not contain
The license request file is not intended to include your private firearm, accessory, ammunition, magazine, photo, document, or inventory database records.
License requests should be sent from the same email address used during checkout whenever possible so the request can be matched to the WooCommerce purchase record.
6. Update notification signup
GhostVault does not automatically check for updates. Customers may choose to sign up for update notices.
Email signup information
If you sign up for GhostVault update notifications, we collect the email address you provide and any optional information submitted through the signup form. We use this information to send occasional GhostVault update notices, release notes, product news, and support-related announcements.
GhostVault itself is offline software. The application does not automatically contact the website, check for updates, transmit inventory data, or upload local application records to the website.
7. Support information
Support information includes only what you choose to send to us.
Information you voluntarily provide
If you contact support, we may keep the information you provide so we can respond, troubleshoot, track license recovery or transfer requests, and improve the product.
Do not send sensitive inventory files, backups, firearm records, private documents, photos, or other sensitive records unless specifically requested and only after you understand what is included.
